We are seeking an experienced Accounting & Payroll Specialist for a direct hire opportunity in Mira Loma, CA. This is a great opportunity for someone who enjoys owning the process, staying organized, and making sure the financial side of the business is accurate, timely, and on track.
In this role, you will support key accounting and administrative functions including accounts receivable, accounts payable, billing, payroll, reconciliations, and general office support. The right candidate will be comfortable managing multiple deadlines, handling confidential information with discretion, and working independently in a fast-paced environment.
What You’ll Be Doing:
Prepare and send daily customer invoices and statements
Manage billing processes, including progress billing and required backup documentation
Apply customer payments and maintain accurate accounts receivable records
Follow up on past-due balances and assist with collections professionally
Receive, code, and enter vendor invoices
Match invoices to purchase orders and approvals
Prepare weekly payments by ACH, check, and credit card
Maintain vendor files, W-9s, and support 1099 tracking
Process payroll on a regular schedule
Maintain payroll records, time documentation, and payroll changes
Support onboarding paperwork for new hires
Perform bank and credit card reconciliations
Provide general office support including mail handling and administrative coordination
What We’re Looking For:
10+ years of experience in accounting, payroll, or office administration
Strong experience in accounts receivable, accounts payable, and payroll
Experience with billing and invoicing, ideally including progress billing
Strong bank and credit card reconciliation skills
Proficiency in Excel and accounting/payroll software such as QuickBooks, Sage, ADP, or Paychex
Strong organizational skills and high attention to detail
Ability to manage multiple priorities and meet deadlines
Professional communication skills and a high level of discretion
