About the Role
We are seeking a detail-oriented Accounting Specialist I to support Accounts Payable, Accounts Receivable, reporting, and general accounting functions for a well-established organization in Costa Mesa. This role handles financial processing, donation and grant reconciliation, compliance-driven recordkeeping, and cross-functional support. The ideal candidate is highly organized, accurate, and comfortable working in a nonprofit or public-service-oriented environment.
Key Responsibilities
Accounts Payable (A/P)
Enter and update vendor invoices accurately and promptly
Reconcile credit card statements and process payments (checks, ACH, etc.)
Maintain complete vendor files and respond to inquiries
Accounts Receivable (A/R) & Donations
Record and reconcile contributions, grants, and program or event revenue
Prepare and distribute invoices, receipts, and acknowledgments
Support donor record management and integration between Raiser’s Edge and Financial Edge NXT (FENXT)
Monitor outstanding receivables and assist with collections
General Accounting Support
Assist with journal entries, accruals, and month-end tasks
Maintain audit-ready documentation aligned with grant compliance standards
Update and track fixed assets within FENXT
Provide reports for tax preparation and annual audits
Prepare 1099s and other required filings
Reporting & Analysis
Generate financial and donor reports using Raiser’s Edge and FENXT
Prepare Excel-based spreadsheets and analyses for budgeting and grant reporting
Support Board, Staff, and Event Meetings with required reports
Provide additional reporting as needed
Administrative & Cross-Functional Support
Communicate professionally with internal teams, program staff, and external partners
Support process improvement and maintain accounting procedure documentation
Maintain confidentiality and follow nonprofit GAAP guidelines
Assist with onsite or offsite events, including occasional weekend or overnight requirements
Qualifications
Associate’s degree in Accounting, Finance, or related field preferred
2–4 years accounting or bookkeeping experience (nonprofit preferred)
Understanding of fund accounting a plus
Proficient in Microsoft Excel, including pivot tables and VLOOKUPs
Experience with Raiser’s Edge or Financial Edge NXT preferred, not required
Strong attention to detail, accuracy, and communication skills
