Overview:
We are seeking an experienced Accounting Specialist with a focus on Purchasing to support high-volume procurement activities and ensure efficient purchasing operations. The ideal candidate has a strong background in purchase order processing, RFP/RFQ coordination, and vendor management. Experience in regulated, public-sector, or municipal environments is a plus. This role requires a detail-oriented professional with sound judgment and the ability to manage procurement functions accurately and efficiently.
Key Responsibilities:
Manage full-cycle purchasing activities, including requisitions, purchase orders, and vendor communications.
Coordinate and support RFP/RFQ preparation, posting, tracking, and documentation.
Assist internal teams with procurement guidelines, requirements, and timelines.
Maintain accurate purchasing records and ensure compliance with organizational policies and procedures.
Review bids, proposals, and pricing for accuracy, completeness, and adherence to requirements.
Reconcile purchasing documentation and provide accounts payable support as needed.
Respond to internal and external inquiries regarding purchasing status, procedures, and updates.
Utilize financial and procurement systems to process, monitor, and track purchasing activity.
Experience with electronic bidding platforms and ERP systems is highly preferred.
Qualifications:
Proven experience with purchase order management and RFP/RFQ processes (required).
Experience in a regulated, public-sector, or municipal environment is a plus.
Ability to interpret procurement policies, bid requirements, and financial documentation.
Strong organizational skills with exceptional attention to detail.
Excellent communication and customer service skills when working with internal teams and vendors.
Proficiency in standard business software; experience with procurement or financial systems is a plus.
