About the Role
We’re seeking a detail-oriented and proactive Accounting & Payroll Specialist to join our dynamic team. This role is ideal for someone who thrives in a fast-paced environment and enjoys managing a wide range of financial and administrative responsibilities. You’ll be the backbone of our accounting operations, ensuring accuracy, compliance, and timely execution across payroll, accounts payable/receivable, certified payroll, HR, and financial reporting.

Key Responsibilities
Payroll & HR

Process weekly payroll for 30+ employees, including 401(k), child support, and PTO updates.
Manage partner draws, FMLA tracking, and rate changes.
Oversee onboarding/offboarding, accident tracking, and OSHA/L&I compliance.
Coordinate annual benefits renewal and employee training.

Certified Payroll

Create and maintain QuickBooks job templates.
File Intents and Affidavits.
Update union rates and prevailing wage tracking.

Accounts Payable

Reconcile vendor statements and process payments.
Manage credit card entries and monitor monthly cash flow.

Accounts Receivable

Handle monthly billings, pay applications, and retention invoices.
Coordinate lien waivers and collections.
Manage service invoicing and rent billing.

Accounting & Office Operations

Maintain cash flow projections and scan/file accounting documents.
Audit job setups in QuickBooks and manage job lifecycle from open to warranty to close.
Track resale certificates and tax statuses.

Monthly, Quarterly & Annual Reporting

Prepare financial reports, bank reconciliations, and tax filings.
Submit union reports and manage insurance audits.
Coordinate with employment attorneys for handbook updates.

Qualifications

3+ years of experience in accounting, payroll, or finance.
Proficiency in QuickBooks and Microsoft Excel.
Familiarity with union reporting and certified payroll preferred.
Strong organizational and communication skills.
Ability to manage multiple deadlines and work independently.
