Job Summary:
We are seeking a detail-oriented and highly organized Accounting Clerk / Accounts Payable (AP) Specialist to join our team. In this role, you will assist with the day-to-day operations of our accounting department by ensuring accurate processing of vendor invoices, reconciling accounts, and maintaining records of all payments. The ideal candidate will have a strong understanding of basic accounting principles and experience in AP processes.

Key Responsibilities:
Process and review accounts payable transactions, ensuring accurate coding and proper approval.

Verify and reconcile vendor invoices and ensure they are paid in a timely manner.

Ensure all documentation (invoices, purchase orders, receipts) are properly filed and organized.

Assist in maintaining the general ledger for accounts payable accounts.

Prepare payment runs and submit for approval to meet vendor payment terms.

Respond to vendor inquiries regarding payments, invoice discrepancies, and other billing matters.

Assist in month-end and year-end closing processes, ensuring all AP transactions are recorded accurately.

Maintain vendor contact information and assist with updating vendor records.

Reconcile accounts payable to ensure all invoices are accounted for and paid.

Assist with other accounting duties as needed, such as data entry, journal entries, and reporting.

Qualifications:
Education: High school diploma or equivalent; Associate’s degree in accounting or related field preferred.

Experience: Previous experience in accounts payable, accounting, or related field preferred.

Skills:

Strong knowledge of accounting principles, specifically AP processes.

Excellent attention to detail and accuracy in data entry and invoice processing.

Proficient in Microsoft Office Suite (Excel, Word, Outlook).

Experience with accounting software (QuickBooks, SAP, Oracle, etc.) is a plus.

Strong organizational and time-management skills.

Ability to maintain confidentiality and handle sensitive financial information.
