Job Summary

Real estate and property management organization in Newport Beach is seeking an Accounting Assistant to support the Controller in a hands-on, fast-paced accounting environment. This direct hire opportunity is ideal for someone who has worked in a small, family-run business where flexibility, accuracy, and the ability to manage a variety of accounting and administrative tasks are essential.

The Accounting Assistant will play an important role in day-to-day accounting operations, including accounts payable, reconciliations, lease-related documentation, contractor billing support, and administrative support for leadership. Key Responsibilities

- Manage and monitor shared accounting inboxes, ensuring requests, invoices, and accounting communications are handled promptly.
- Process accounts payable, including invoice review, coding, data entry, and payment support.
- Record financial transactions and assist with bank and credit card reconciliations.
- Support real estate accounting tasks, including lease document packages, rent rolls, and tenant move-out documentation.
- Assist with monthly contractor billings, AIA documents, lien releases, and insurance requirement tracking.
- Provide administrative support to the owner and assist with other accounting and office duties as needed.

Compensation and Benefits

- Salary range: $75,000 to $85,000 per year.
- Direct hire opportunity.
- Schedule: Monday through Friday.
- Hours: 7:30am to 4:30pm or 8:00am to 5:00pm.
- Work arrangement: 100% in office in Newport Beach, CA.

Required Qualifications and Skills

- Support the Controller with daily accounting operations and administrative priorities.
- Process accounts payable, invoice coding, reconciliations, and transaction entries.
- Assist with lease documentation, rent rolls, tenant move-outs, and contractor billing requirements.
- Maintain accurate accounting records and help ensure deadlines are met in a fast-paced environment.

- 3 to 5 years of relevant accounting support, accounting assistant, accounts payable, or bookkeeping experience.
- Experience with QuickBooks Desktop is required.
- Strong accounts payable, invoice processing, coding, and reconciliation skills.
- Ability to work 100% in office in Newport Beach, CA.
- Prior experience in a small business, family-run business, real estate, property management, construction, or contractor billing environment is highly relevant.
- Strong attention to detail, accuracy, organization, and follow-through.
- Comfortable handling a variety of accounting and administrative duties in a fast-paced setting.
- Excellent communication skills and the ability to work closely with leadership, accounting, vendors, tenants, and internal teams.
- Demonstrated job stability is required. Candidates with a pattern of short-term roles will not be considered.

Preferred Qualifications

- Experience in real estate, property management, or construction-related accounting.
- Familiarity with AIA billing, lien releases, insurance requirement tracking, rent rolls, and lease documentation.
- Prior experience supporting a Controller, owner, or executive leadership in a small office environment.
