Job Summary

We are seeking an experienced Accounting Assistant for a direct hire opportunity in Hayward, CA. This role is ideal for a detail-oriented accounting and administrative professional who enjoys variety, accuracy, and being part of a small, hands-on team where everyone contributes.

The Accounting Assistant will support accounting, order entry, purchasing, vendor management, invoicing, accounts payable, accounts receivable, and general office operations. This is a great opportunity for someone who enjoys working in a collaborative environment with supportive leadership, practical training, and the chance to take ownership of a wide range of business support functions.

The company is currently rearranging its office setting and is looking for someone flexible, adaptable, and comfortable wearing multiple hats. Candidates with QuickBooks, Excel, order entry, and accounting support experience will be well positioned for success.

Key Responsibilities

- Process, review, and code vendor invoices while matching purchase orders, receipts, and invoices for accuracy and authorization.
- Generate customer invoices, post payments, reconcile remittances, monitor accounts receivable aging, and follow up on outstanding balances.
- Enter customer orders and material purchase orders into the company database while reviewing information for completeness, pricing, and accuracy.
- Communicate with customers, sales teams, production, vendors, and internal departments to resolve order, invoice, shipping, purchasing, and documentation issues.
- Support purchasing workflows, monitor supplier performance, track delivery status, maintain purchasing records, and help resolve vendor or invoice discrepancies.
- Assist with month-end close, account reconciliations, payroll processing support, compliance-related tasks, light phone duties, and general accounting administration.

- Pay Range: $26.00 to $30.00 per hour.

Required Qualifications and Skills

- Support accounts payable, accounts receivable, invoicing, payment posting, account reconciliation, and month-end close activities.
- Enter and manage customer orders, purchase orders, order confirmations, shipping documentation, and related database updates.
- Coordinate with customers, vendors, sales, production, and internal teams to ensure order accuracy, timely delivery, and issue resolution.
- Assist with purchasing, supplier communication, invoice issue resolution, vendor record maintenance, and general accounting support.

- 6 to 10 years of relevant accounting support, accounts payable, accounts receivable, order entry, purchasing, or administrative experience.
- Experience using QuickBooks, with QuickBooks Desktop required and QuickBooks Online experience a plus.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Ability to learn and use ERP or database systems, including E2 ERP or similar manufacturing-related software.
- Strong data entry accuracy, analytical ability, and problem-solving skills to identify and correct errors.
- Excellent organizational, multitasking, and time management skills with the ability to manage competing priorities.
- Strong communication and customer service skills, including comfort with light phone duties.
- Flexible team-oriented mindset and willingness to support multiple functions in a small-company environment.

Preferred Qualifications

- Experience with both QuickBooks Desktop and QuickBooks Online.
- Experience with E2 ERP or another ERP system used in manufacturing, construction, or production environments.
- Previous experience in a small business environment where employees handle a variety of accounting, order entry, and purchasing responsibilities.
- Familiarity with vendor setup documentation, W-9 tracking, purchase order workflows, and invoice reconciliation.
