We are seeking a detail-oriented and tech-savvy Billing Coordinator to support our accounting and operations teams. This role is ideal for someone who is highly organized, comfortable working with numbers, and experienced with modern billing and accounting software. The Billing Coordinator will handle daily invoicing, payment processing, data accuracy, and customer account communication while ensuring all billing activities are completed on schedule.

Key Responsibilities
• Prepare, review, and process invoices accurately and in a timely manner
• Manage customer accounts, billing schedules, and recurring charges
• Enter, update, and reconcile billing data in QuickBooks, Salesforce, and related systems
• Verify pricing, contract terms, and supporting documentation before issuing invoices
• Track outstanding balances and support accounts receivable follow-up
• Respond to billing inquiries from internal teams, vendors, and customers
• Generate billing reports, account summaries, and month-end documentation
• Assist with credit memos, adjustments, and data corrections
• Maintain organized digital records and ensure compliance with internal controls
• Support process improvements, documentation updates, and workflow efficiencies
• Collaborate with operations, sales, and finance to resolve discrepancies and ensure accurate billing

Required Qualifications
• Minimum of 2 years of experience in billing, accounts receivable, accounting support, or similar administrative functions
• Proficiency with QuickBooks for invoicing, reporting, and account maintenance
• Experience using Salesforce or similar CRM systems
• Strong Excel skills including sorting, filtering, and basic formulas
• High attention to detail with strong accuracy in data entry and financial documentation
• Excellent written and verbal communication skills
• Ability to manage multiple deadlines in a fast-paced office environment
• Strong problem-solving skills and comfort researching discrepancies
• Ability to maintain confidentiality with financial and customer information

Preferred Qualifications
• Experience with additional billing and accounting platforms such as Bill.com, NetSuite, SAP, or Stripe
• Familiarity with customer contracts, purchase orders, or service agreements
• Previous experience in a service-based, project-based, or subscription-based billing environment
• Associate degree in Accounting, Business Administration, or related field

Schedule and Work Environment
This is an onsite position, Monday through Friday. Candidates must be local and able to work on location full-time.
