Accounting Specialist (AP/AR & Payroll Support)
Location: Onsite | Monday–Friday, 8:30 AM–5:30 PM
We are seeking a detail-oriented Accounting Specialist to support our Accounts Payable, Accounts Receivable, and Payroll functions. This role plays a key part in maintaining accurate financial records while providing responsive, professional communication with vendors and customers. The ideal candidate is organized, dependable, and comfortable working in a fast-paced, fully onsite office environment.
Key Responsibilities
Accounts Payable
Enter and update vendor invoices in Sage 50 within required timeframes
Prepare payment checks and related reports accurately and on time
Respond to vendor inquiries and resolve issues to satisfaction
Accounts Receivable
Enter sales invoices into Sage 50 and distribute invoices to customers
Process daily cash receipts, including checks, wire transfers, and miscellaneous payments
Perform bank and credit card reconciliations
Collections
Monitor aged receivables and send customer statements
Communicate with customers via phone and email to collect outstanding balances
Payroll Support
Assist the Accounting Manager with payroll processing
Verify overtime and PTO for accuracy
Filing & Office Support
Maintain organized vendor files and invoice records
Lift and carry filing boxes up to 10 lbs as needed
Provide general office support for seminars or special events when required
Qualifications
Bachelor’s degree in Accounting (required)
3–5 years of accounting experience preferred
Strong proficiency in Microsoft Word and Excel
Experience with Sage 50 is a plus but not required
Excellent interpersonal and communication skills
High level of accuracy, organization, and follow-through
