About the Role

We are seeking a detail-oriented Accounting Assistant with strong communication skills and a solid understanding of accounting processes. This role supports Accounts Payable, Accounts Receivable, Payroll, and general accounting functions to ensure accuracy and timeliness across all financial operations. The ideal candidate is organized, proactive, and comfortable interacting with customers and vendors.

Key Responsibilities
Accounts Payable

Enter and update vendor invoices in Sage 50 within specified timelines
Prepare payment checks and related reports
Respond to vendor inquiries professionally and promptly

Accounts Receivable

Enter sales invoices into Sage 50
Send invoices to customers and process daily cash receipts (checks, wire transfers, cash, misc. payments)
Assist with collections: send statements and follow up with customers by phone and email

Banking & Reconciliation

Perform bank and credit card reconciliations
Maintain accurate and up-to-date sub-ledgers

Payroll Support

Assist the Accounting Manager in verifying overtime, PTO, and payroll data

General Office & Filing

File vendor documents and invoices; lift and carry boxes (up to 10 lbs) to an upstairs storage area
Provide administrative support during seminars, trainings, or special events

Qualifications

Bachelor’s degree in Accounting required
3–5 years of accounting experience preferred
Strong proficiency in Microsoft Word and Excel
Experience with Sage 50 a plus (not required)
Excellent interpersonal and communication skills
Strong attention to detail and accuracy
Ability to manage multiple tasks in a fast-paced environment
