We are looking for a highly organized and detail-oriented Accounting Administrator to join our Sales and Operations team. Reporting to the Operations Manager, this position is responsible for supporting daily accounting and administrative tasks, ensuring accuracy and efficiency across a variety of financial functions. The ideal candidate is proactive, communicative, and able to work both independently and collaboratively in a fast-paced environment.
Main Responsibilities:
Analyze and manage Certificate of Analysis reports internally and share appropriate information with external customers
Manage request and receipt of Bills of Lading, In/Out Bound records, and related reporting
Provide updates to vendors on future pay dates
Analyze and approve customer invoices
Analyze and manage pending warehouse and freight invoices
Manage and contact customers regarding past-due payments
Manage Accounts Receivable (AR) report and collaborate with Operations regarding purchase orders on hold due to lack of payment
Manage and analyze credit setup for new customers, including reviewing credit references and assigning credit limits
Secondary Responsibilities:
Analyze warehouse costing
Manage and follow up with collections
Email and file customer invoices
Manage and approve warehouse invoices
Obtain freight quotes
Process and manage customer orders
Set up new customers with ACH
Generate FedEx labels and schedule pickups
Manage and follow up on retests with outside labs
Support the Administrative Assistant position as needed
Complete other duties at the discretion of management
Requirements:
Bachelor’s Degree preferred
3+ years of experience in a similar role or a sales support function
Extremely organized with excellent communication and interpersonal skills
Self-motivated and adaptable to change
Proficient in Microsoft Excel, Word, and Outlook
Experience with GreenRope or similar Customer Relationship Management software
Ability to work independently and collaboratively with cross-functional teams and external partners
Strong attention to detail and follow-through
Ability to work under pressure and meet deadlines with minimal supervision
Skilled in prioritizing tasks to meet shifting demands
