We’re seeking a reliable, detail-oriented Administrative Assistant with strong Accounts Receivable/Accounts Payable experience to join our team in a polished, professional, and conservative office environment. This full-time role offers a steady Monday–Friday, 8:00 AM to 5:00 PM schedule.
As the first point of contact for clients and applicants, and a key part of our accounting workflow, you’ll support both front office operations and back-end financial processes. If you are organized, personable, and skilled in Excel and accounting software, we’d love to hear from you.
Key Responsibilities
Receptionist Duties
• Greet visitors, applicants, and clients with professionalism and warmth
• Answer multi-line phones and route calls appropriately
• Assist applicants with paperwork and application procedures
• Handle general filing and administrative support tasks
Accounts Receivable (AR)
• Calculate outstanding debts and credits
• Process payments and apply to accounts
• Issue and track credit memos
Accounts Payable (AP)
• Record job hours and prepare related billing
• Input billing data into Excel spreadsheets
• Generate and issue invoices
Office & Administrative Support
• Provide executive and clerical support to business operations leadership
• Maintain organized records for vendors, equipment, and transactions
• Perform general office upkeep and support cross-functional needs
Skills & Qualifications
• Must have prior AR/AP experience with basic accounting math and balancing practices
• Intermediate proficiency in Microsoft Excel: data entry, AutoSum, insert lines, add/rename pages, copy & paste
• Proficient in Microsoft Word and accounting software
• Strong clerical, typing, and organizational skills
• High school diploma or equivalent required
• Excellent communication and interpersonal abilities
• Dependable, punctual, and professional in appearance and conduct
• Ability to multitask, stay organized, and work independently
• Customer-service focused, with a positive and respectful attitude
