Short Description:

A Construction Project Administrator is responsible for providing administrative and logistical support to ensure smooth execution of construction projects. They assist with document management, scheduling, budgeting, and communication between project managers, contractors, and clients. The role involves tracking project progress, processing invoices, maintaining compliance records, and organizing project documentation such as contracts and change orders. Construction Project Administrators help ensure projects stay on schedule and within budget while meeting all regulatory and quality requirements. Strong organizational, communication, and multitasking skills are essential for success in this role.

Duties / Responsibilities:

  • Provide administrative support to project managers, superintendents, and field teams throughout all phases of construction projects
  • Prepare, process, and track contracts, subcontracts, change orders, and purchase orders
  • Maintain organized project documentation, including drawings, specifications, RFIs, and submittals
  • Assist with budget tracking, invoice processing, and coordination of billing with accounting departments
  • Schedule and coordinate project meetings, prepare meeting minutes, and distribute relevant project information
  • Communicate with clients, vendors, and subcontractors to obtain documentation, updates, and approvals
  • Ensure compliance with company policies, contract requirements, and safety regulations
  • Support project closeout by compiling warranties, operation manuals, and final documentation packages
  • Maintain and update project management software and logs to ensure real-time data accuracy
  • Assist in preparing reports and presentations for internal and client meetings

Skills / Requirements / Qualifications

  • Education: Bachelor’s degree in construction management, business administration, or a related field preferred
  • Experience: 2–4 years of experience in construction administration, project coordination, or related roles
  • Organization: Strong organizational and multitasking skills to manage multiple projects and deadlines simultaneously
  • Communication: Excellent written and verbal communication skills for coordinating with internal teams and external partners
  • Technical Proficiency: Familiarity with construction management software (e.g., Procore, Bluebeam, or Primavera) and Microsoft Office Suite
  • Attention to Detail: High level of accuracy in document management, data entry, and financial tracking
  • Analytical Skills: Ability to review contracts, budgets, and schedules for inconsistencies or potential issues
  • Team Collaboration: Strong interpersonal skills to work effectively with project managers, field staff, and clients
