Short Description:

An Escrow Assistant or Coordinator is responsible for supporting the escrow process by managing documentation, coordinating transactions, and ensuring all requirements are met for timely closings. They prepare and review escrow instructions, contracts, and settlement statements while communicating with buyers, sellers, lenders, and real estate agents to gather necessary information. The role involves maintaining accurate records, monitoring deadlines, and ensuring compliance with legal and company standards. Escrow Assistants help facilitate smooth and accurate real estate transactions from opening to close. Strong attention to detail, organizational skills, and knowledge of escrow or title procedures are essential for success in this role.

Duties / Responsibilities:

  • Support escrow officers by preparing, reviewing, and processing real estate transaction documents such as purchase agreements, title reports, and closing statements
  • Open and maintain escrow files, ensuring all required documentation, deposits, and signatures are received in a timely manner
  • Communicate with buyers, sellers, lenders, real estate agents, and title companies to coordinate closing details and resolve outstanding issues
  • Verify accuracy of financial data, including payoff demands, prorations, and fund disbursements prior to closing
  • Prepare settlement statements, balance files, and ensure compliance with escrow instructions and applicable regulations
  • Manage escrow calendars, schedule signings, and ensure all parties are informed of key dates and deadlines
  • Request and track necessary information such as HOA documents, insurance verifications, and title clearances
  • Handle incoming and outgoing correspondence, wire instructions, and deposit receipts with a high level of confidentiality
  • Assist with post-closing procedures, including document recording, policy issuance, and final disbursements
  • Maintain organized and compliant electronic and physical files according to company and regulatory standards

Skills / Requirements / Qualifications

  • Education: High school diploma or equivalent required; associate’s degree or coursework in real estate, business, or finance preferred
  • Experience: 2–4 years of experience in escrow, title, or real estate transaction coordination
  • Industry Knowledge: Understanding of escrow processes, title documentation, and real estate closing procedures
  • Attention to Detail: Strong accuracy in handling financial figures, legal documents, and multiple concurrent files
  • Communication: Clear and professional communication with clients, lenders, and internal staff
  • Organization: Excellent time management and ability to prioritize tasks in a deadline-driven environment
  • Technology: Proficiency with escrow and title software, Microsoft Office Suite, and digital document management systems
  • Compliance: Familiarity with RESPA, CFPB, and state escrow regulations to ensure proper handling of all transactions
