About the role


You'll be the operational backbone of our maintenance service parts team — managing the full cycle from quoting and ordering to shipping, invoicing, and inventory. This role works closely with our Japan headquarters, local vendors, and internal accounting to keep parts flowing for domestic and international customers.

No prior experience needed — we'll train you. We're looking for someone detail-oriented, organized, and ready to grow with us long-term.

What you'll own

Prepare parts quotes and process orders for domestic and international customers

Manage back orders with Japan HQ and local vendors; submit restocking requests

Coordinate domestic and international shipments (FedEx, UPS, etc.) and prepare commercial and proforma invoices

Process invoicing for on-site service (MSR) and manage the cost transfer process to the Sales Department
Collaborate with Accounting on invoicing, payment status, and past-due follow-ups

Oversee warehouse inventory — stocking, investigating discrepancies, and processing system updates for regular stock, urgent parts, and Japan direct shipments
Handle special-order (S-Number) parts and maintain up-to-date parts and customer records in the system

Required:
Bilingual Japanese / English — required
You'll communicate regularly with our Japan headquarters. Fluency in both languages is essential.
Associate's degree or higher
Entry-level — training provided
Detail-oriented with strong follow-through
Clear communicator across teams
