We are seeking a polished and highly organized Executive Assistant to provide high-level administrative and operational support to executive leadership and the Board of Directors. This role requires exceptional discretion, professionalism, and the ability to manage multiple priorities in a fast-paced corporate environment.
Key Responsibilities
Manage complex executive calendars and scheduling across multiple time zones
Coordinate domestic and international travel arrangements
Prepare, submit, and reconcile expense reports
Support quarterly earnings calls and executive leadership meetings
Coordinate Board of Directors meetings, materials, and logistics
Handle confidential communications, reports, and sensitive documentation
Assist with office operations and facilities coordination
Manage purchase orders and vendor relationships
Administer systems including Concur, AMEX, and records management tools
Qualifications
Bachelor’s degree or equivalent experience preferred
Minimum of 5 years supporting senior executives and/or C-suite leadership
Prior Board-level support experience preferred
Advanced proficiency in Microsoft Office Suite
Strong organizational, communication, and multitasking skills
Ability to maintain confidentiality and professionalism at all times
Schedule
Monday–Friday, generally 8:00 AM–5:00 PM
Flexibility for occasional evenings and weekends during earnings cycles or Board meetings
