Bilingual Spanish Receptionist

The Bilingual Scheduling Coordinator and Front Desk Receptionist serves as the first point of contact for our clinic, offering a warm welcome to children and families both in person and over the phone. This position requires excellent communication skills in English and Spanish, strong organizational abilities, and a passion for providing outstanding customer service in a pediatric health care environment.
You will be responsible for managing the therapy schedules of our clients, coordinating appointments, and supporting the daily operations of the clinic. This is a full-time position with opportunities for professional development and advancement.
Key Responsibilities
•Greet all clients and visitors with warmth, professionalism, and compassion, creating a family-friendly atmosphere in our reception area
•Communicate effectively in both English and Spanish, assisting families with scheduling, rescheduling, and general inquiries
•Coordinate and manage therapy appointments for multiple providers, ensuring efficient utilization of clinician time and treatment spaces
•Maintain accurate and up-to-date client records and schedules using electronic medical record (EMR) systems
•Handle incoming phone calls, emails, and messages promptly and courteously
•Verify insurance information and assist families with basic questions regarding coverage and authorizations
•Collect co payments and process payments as needed, following clinic procedures for billing and financial documentation
•Support clinicians with administrative tasks such as preparing forms, reports, and correspondence
•Ensure the office environment is clean, organized, and safe
•Assist with on boarding new clients, including collecting and organizing paperwork
•Participate in staff meetings and contribute to ongoing efforts to enhance the quality of our services
•Perform additional front desk duties as assigned by management
Qualifications
•High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
•Fluency in English and Spanish is required (speaking, reading, and writing)
•Previous experience in a medical or pediatric office setting strongly preferred
•Exceptional interpersonal communication and customer service skills
•Demonstrated ability to multi task, prioritize, and remain calm under pressure
•Solid organizational and time management skills with acute attention to detail
•Proficiency with computers and experience using EMR/EHR and scheduling software
•Demonstrated cultural sensitivity and ability to work with diverse families and children
•Professional appearance and demeanor
